Mail Merge: Bulk Certificates and Letters from Excel

Fill a Word template with names from an Excel or CSV list: one certificate or letter per row, as one PDF, separate PDFs or Word files in a ZIP. A ready certificate design too. Nothing uploaded.

Private · on device. Runs in your browser: your file is not uploaded. No sign-up.

{{Name}} is filled from the Name column.

Put any column of your list in double braces, like {{Course}}, and it is filled in for each row.

Fields: Name, Course, Date

Row 1 of 3: Asha Patel

Nothing is uploaded. The template and the list stay in this browser tab. In the Word files the fields are replaced inside the document, so fonts, colours and layout stay as you made them. The PDFs from a Word template follow its text, headings, alignment, tables and pictures but use standard fonts, like the Word to PDF tool; for an exact look, save Word files and print them to PDF from Word.

How to make certificates for a whole list

  1. Keep the certificate design, or choose your own Word template with fields like {{Name}}.
  2. Open your Excel or CSV list, or paste it. The first row holds the column names.
  3. Check the preview row by row.
  4. Choose one PDF, PDFs in a ZIP or Word files in a ZIP, and press Make.

To write a template from scratch, use the Word editor and save it as .docx. To tidy the list first, open it in the spreadsheet.

Frequently asked questions

How do I mark the fields in my Word template?

Type the column name in double braces where the value goes, like {{Name}} or {{Course}}. Word’s own merge fields («Name», from Mailings > Insert Merge Field) work too. Capital letters, spaces and underscores do not matter: {{first_name}} matches a column called First Name.

Does it keep the formatting of my template?

In the Word files, yes: each value takes the font, size and colour of the field it replaces, and everything else stays as it was. The PDFs from a Word template follow its text, headings, alignment, tables and pictures but use standard fonts; for an exact look, save Word files and print them to PDF from Word.

Can I paste the list straight from Excel?

Yes. Copy the cells with their heading row and paste them into the list box; tab, comma and semicolon separated lists all work. An .xlsx or .csv file can be opened as it is.

Is my list uploaded?

No. The template and the names stay in this browser tab, and every document is made there.

How many documents can I make at once?

Up to 1,000 rows at a time. A few hundred PDFs take a minute or two on a phone; Word files are quicker.
